#TipADay: Day 1: Extract Reports in Microsoft AX2012

Today we will explore an informative feature in AX 2012. AX provides a feature of some reports based on data retrieve from transaction processing database for Microsoft Dynamics AX. These reports are easy to create and modify based on user’s requirement.

Some of the reports these kind of reports are as follows:

1. Management reporter

Management reporter (MR) tool will help users for financial reporting in a customized format which also offers function to update statement on rolling basis by adding rows and columns as required. It also provide hypertext which further extend to detail content of respective areas , like if user click Sales figure on Profit and loss account it extends into detail sales analysis.

2. Dynamics AX adds in Excel

MS Dynamics AX 2012 provide adds in excel which connects excel to database of AX Client. To extract new report just select required table and add lines and refresh the data, all fields are populated with data required. This feature also helps users to add new and update information in AX, like extract Main accounts from AX using adds in functionality.

  • 3. Auto report wizard

Auto reports can easily extracted from many forms however they are preconfigured reports that users can generate by clicking File > Print > Print in a Microsoft Dynamics AX form but can be created, saved, modified, edit and deleted whenever required. These reports ca and can be re used in future.the reports are customized from wizard by adding required fields from tree add sum of quantity, prices and cost etc to reports from wizard.

4. And finally an export to excel functionality

AX provides a functionality to export data from one form to excel and then users can easily make their own customized form of report by using pivots or just print them for tracing and recording. This feature is normally available on every form.

Understanding Role Based Security in Microsoft Dynamics AX 2012

Security has a very important role to play in any ERP implementation. The security aspect of an ERP helps the administrator to control and restrict access of different users to data in the ERP. The administrator can control the rights of access to different modules and forms of different users tailoring the access, based on user groups or each individual user. Microsoft Dynamics AX controls security through a role based security system.

Security Architecture of Dynamics AX

Role-based security:-

  • In earlier versions of Microsoft Dynamics AX, the IT administrator wasted a lot of time and effort in managing the application security by creating user groups.
  • Microsoft Dynamics AX 2012 now offers managing security within the application by using some predefined roles and providing role based access based on these roles.
  • It also provides predefined business-related duties that are assigned with roles and matched with the users assigned to a specific role

Roles:-

  • All of the users must be assigned at least one security role to have access to Microsoft Dynamics AX. By managing the user’s access through security roles, it saves up a lot of time as the administrators only have to manage the security roles rather than each individual user.

Duties:-

  • The administrator in Dynamics AX assigns duties to the role and the administrator can assign many different duties to any role.

Privilege:-

  • A privilege in Microsoft Dynamics AX specifies the access level that is required to complete an assignment, solve a problem or perform a job.

Permissions:-

  • Permissions group all the securable objects and the different access levels that a user requires to run a function. This includes any forms, server side methods, fields or tables that can be accessed through security points.

Benefit of Having Role-based security:-

  • The new concept of role based security in AX 2012 has made it easier to manage security. Roles can be applied across all the companies and so the administrator does not have to maintain separate user groups for each and every company in the organization.

Assigning users to different roles (adding roles to users):-

  • Go to System administration | Common | Users | Users.
  • Select the required user from the user’s list.

  • From the upper left-hand corner of the user list page, click on Edit.
  • In the center of the user form, click on Assign roles.

  • Select a role from the list of predefined roles.
  • Select an option in the Role name menu to assign to the selected user.

  • Click on OK.
  • Click on Close to close the user form.

Microsoft Dynamics – research on the needs and attitudes

An independent survey was conducted by MS Dynamics World to evaluate various needs and attitudes towards MS Dynamics products (ERP and CRM) by both customers and partners. The survey conducted between 640 participants indicated a range of responses, and helped evaluate the trend in popularity of capabilities, sentiment analysis between customer and partner relationships, and challenges that customers face in their implementation and operations of MS Dynamics products.

Several aspects were revealed with respect to the three elements under study, popularity of capabilities, sentiment of customers and challenges that are faced:

  1. Respondents felt that they were not able to utilize their Microsoft solution to the fullest extent. Full or good utilization was marked by only 23% respondents.
  2. On the same lines, 22% customers indicated that they would like to spend money in the next six months to improve their Microsoft solution.
  3. The main areas that most partners and customers were primarily interested in, include: Reporting and Business Intelligence, Migration, Integration and Business Processes
  4. Most respondents felt that that Microsoft Dynamics ERP and CRM will and have shown positive progress in their respective markets.
